Privacy Policy

Tenanture ("Tenanture", "we", "us") provides AI-powered leasing automation for property managers. This policy explains what information we collect when you use the Tenanture app at app.tenanture.com, how we use it, who we share it with, and the choices you have.
Information we collect
- Account information — your name, email address, and (if you sign in with Google) your Google account email and profile photo.
- Property and lead data you provide — properties, units, qualification rules, and any text you enter in the app.
- Email content from connected mailboxes — when you connect a Gmail account, we access messages in that mailbox to identify lead conversations, draft replies, and surface insights in the app. See Google user databelow for what we do and don't do with this.
- Usage data — pages visited, actions taken, timestamps, and basic device information. We use this for product analytics and to debug issues. We use PostHog for product analytics; PostHog stores this data on our behalf.
How we use your information
- To operate Tenanture and provide the features you signed up for.
- To generate AI reply drafts and lead-qualification verdicts using the email content from your connected mailboxes. We send relevant excerpts to third-party AI providers (Anthropic, Groq) under their zero-data-retention agreements where available.
- To send you transactional email (confirmations, alerts, billing).
- To improve Tenanture — debug issues, prioritize features, measure performance.
- To comply with legal obligations.
Google user data
Tenanture's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, with respect to Gmail data accessed via the restricted scopes gmail.readonly and gmail.send:
- We use Gmail data only to provide and improve user-facing features of Tenanture that are visible in the app interface (lead detection, conversation threading, AI reply drafts, sending replies on your behalf when you click Send).
- We do not use Gmail data to develop, improve, or train generalized AI or machine-learning models. Excerpts may be sent to third-party LLM providers (Anthropic, Groq) to generate a single reply draft for you; those providers are contractually prohibited from training on the data.
- We do not transfer Gmail data to others except as necessary to provide and improve user-facing features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to you.
- We do not use Gmail data to serve advertisements, and we do not allow humans to read Gmail data unless we have your explicit consent for specific messages, doing so is necessary for security purposes (e.g., investigating abuse), to comply with applicable law, or our use is for internal operations and the data has been aggregated and anonymized.
You can revoke Tenanture's access to your Gmail account at any time by visiting myaccount.google.com/permissions or by disconnecting the inbox in Tenanture's Settings page.
How we share information
We share data only with the service providers needed to run Tenanture:
- Google— OAuth identity and Gmail access (only for the mailboxes you explicitly connect).
- Anthropic, Groq— LLM providers that generate AI reply drafts and lead-qualification verdicts. No training on your data; zero-retention where available.
- PostHog— product analytics, hosted in the US.
- Amazon Web Services (SES) and Mailjet— transactional email delivery.
- Hetzner— server hosting (EU).
We do not sell your personal information, and we do not share it for third-party advertising.
Data retention
We retain account, property, and lead data for as long as your account is active. Email content fetched from connected mailboxes is retained for as long as the inbox is connected, so that the conversation history remains visible in the app. If you delete your account or disconnect a mailbox, we delete the associated data within 30 days, except where we are required to retain it for legal or accounting reasons.
Security
We host on Hetzner in the EU. OAuth tokens are stored in our database; access is restricted to the Tenanture application processes. We use TLS for all traffic. No system is perfectly secure; if we discover a security incident affecting your data, we will notify you as required by applicable law.
Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, email antoine@tenanture.com.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will notify you by email and update the "Last updated" date above.
