How to use a rental verification form

Rental verification is the process of checking an applicant's rental history with a previous landlord before you approve them. Landlords and screening agencies send a form to the prior landlord with questions about the tenancy.

A form is only as good as the questions it asks. Vague questions invite vague answers, and a coached reference gives a friendly but useless reply.

Two questions catch a coached reference most reliably: exact move-in and move-out dates, and how the security deposit was handled at move-out. A real landlord can answer both from memory or a record. A coached reference usually cannot, because those are the two facts a person who never managed the unit does not know.

Frequently asked questions

Can a previous landlord legally refuse to answer?

Yes. No law requires a landlord to complete a verification. Most answer because they rely on the same process; silence is a data point, not proof of a problem.

Is a private landlord's reference worth as much as a management company's?

No. A management company has a paper trail and professional exposure; a private landlord can be the applicant's relative. Weight the company reference first, and cross-check the county assessor's ownership record if the private reference seems coached.

What if the applicant is in a dispute with the prior landlord I'm calling?

Treat the reference as contaminated and pull the eviction-court docket for the address instead. The public docket answers dates, amounts owed, and outcomes without either party's framing.
